WORKFLOW:

How does AMS 1099 software work for accountants managing multiple clients?

Our software centralizes how you handle client data and access features like batch processing and multi-entity workflows. You can switch between accounts to generate, review, and file dozens (or hundreds) of 1099s.

As a small business, we understand what other small businesses and firms look for when it comes to 1099 support and reliability. The key features include:

  • Easy data entry
  • Liability compliance
  • Less repetitive entries
  • Reduced data or form duplication

We understand that managing multiple clients can be complicated when different liabilities exist for different locations. That is why we ensured our W2/1099 software supports all 50 states, plus the District of Columbia and Puerto Rico.

Can I print and e-file 1099 and W2 forms from the same software?

Yes, users who purchase our 1099-etc software can access a powerful and modular suite of tools with 1099 and W2 form printing and e-filing capabilities. Prepare and file year-end forms with software that pairs with an E-Filer to send information return forms to the IRS and SSA. Our program provides inclusive features that lets users:

  • Import data from QuickBooks, PeachTree, Excel, and Tab Delimited Text files
  • Export data to a Tab‑Delimited Text File and/or QuickBooks General Journal

How many forms can I file with one license?

You can file an unlimited number of forms with one license when you use our 1099 software. Accountants who manage multiple clients benefit from our flat pricing and an easily scalable system that does not require costly upgrades or switching between systems.

What is the difference between cloud and desktop 1099 software?

Cloud and desktop 1099 software each have distinct advantages and drawbacks depending on your clients’ goals and what you want most out of your software.

Pros of Cloud 1099 Software

  • 24/7 access (home, office, client site)
  • Real-time, live updates
  • Easy integration with accounting tools (QuickBooks Online)
  • Automatic cloud backups
  • Expert technical support

Pros of Desktop 1099 Software

  • Works offline
  • Control over data storage
  • Possible one-time cost model
  • Control over when to update
  • Flexible backup strategy

We understand that every accountant’s needs are unique and what you need now may change later. Simplify high-volume 1099 filing with our desktop 1099 software while retaining control of your clients’ data. Consider what you need now and how our software can scale with the firm’s needs as its client roster grows.

AMS 1099 and W2 Software Was Created for Accountant

  • Multi-Client Management – Our comprehensive 1099 and W2 platform centralizes workflows by allowing users to manage multiple clients with a single, intuitive interface. Eliminate switching between multiple platforms to maintain consistency throughout the year as you gain clients, with clear oversight during tax season.
  • Batch Processing – Streamline workflow when you generate, edit, and file forms for multiple clients or recipients at the same time. Improve turnaround times and reduce data entry errors when you handle high volumes of forms with bulk action tools.
  • Repeat Annual Workflows – Reduce the setup time and improve reporting consistency with software for accountants that retains previous years’ data and workflows. Our software does not require you to rebuild every entry and validation process.
  • Firm-Centric Design – AMS software was designed for 1099 and W2 forms and offers audit trails, collaboration features, and role-based access that individual filers do not need for tax preparation.

Everything You Need to Prepare, Print, and File

Our 1099 software handles all quarterly and annual tax form reporting. Our wide range of forms includes:

  • 1099-NEC
  • 1099-MISC
  • 1099-INT
  • 1099-DIV
  • 1042-S

The good news? Our 1099 software does more than support many types of clients or worker classifications — it is also available at a reasonable price for smaller firms. Accountants on a budget can gain access to capabilities, such as:

  • W2 and W3 processing
  • Bulk importing for recipient data
  • Batch printing (plain paper and pre-printed)
  • Error checking

Make corrections as needed, but also know that our system helps reduce the severity of form filing errors with built-in e-file capabilities. Verify, view, and print any of the files that you need with an add-on E-Filer for less manual and repetitive task management.

Why Most 1099 Software Gets Expensive

Our software price is based on a per-payer model and not a price-per-form model. Our 1099 software:

  • Starts at $94 per year. Our software pricing scales as your client roster grows.

  • Lets accountants file 100 forms or 1,000 forms for the same price. Our software supports up to 99,999 employees or recipients per payer with no additional charge.

Unlike a SaaS vendor, our pricing does not change and it is not subscription-based. A cheap per-form model can be enticing, but that type of pricing for a 1099 program can also add up over time. You might also find it difficult to scale with your clients if your 1099 software charges a fee per month.

A Flat Pricing Model That Scales With Your Business

Our W2/1099 software is the cheapest on the market for accountants and CPA firms. When you switch from a per-form model to a flat pricing model, you can:

  • Manage high-volume clients
  • Scale with your clients to accommodate multiple worker classifications
  • Take on bulk filing projects to improve efficiency

Getting affordable and efficient software is a big step toward defraying the cost of subscription fees and reducing extra hours of labor. Our desktop product operates as a complete database system with a clear advantage for firms that only need specific add-on capabilities, like Payroll Software or an E-Filer, on a gradual basis.

How 1099 Filing Works with AMS Software

Our W2/1099 software has an easy-to-use, menu-driven format that simplifies how you select payers and forms. After completing the system’s payer and employee setup process, you can:

  • Import or enter your data directly onto an easy-to-read facsimile of the 1099 form that is on the screen.
  • Review and validate client information, including the automated calculations of federal, state, and local payroll taxes. Our software can also create an SSN verification file and show different state and federal tax liabilities at any time through a View command tool.
  • Print 1099 and W2 forms through the software on pre-printed forms. Our software can be tailored to accommodate easy form alignment. Forms can also be generated using a fully integrated Software Generated Forms add-on module.
  • E-file your forms (optional) directly to the IRS and/or SSA and save money. Our e-filing option for year-end W2 and 1099 forms can help you save time, materials, and improve the overall convenience of not needing to load special forms into the printer.

Worried about backups? No need to worry. Our software also has a payer backup and restore feature available if you are concerned about losing data or saving your data to make changes later.

How This 1099 Software Compares to Other Options

For over 30 years, our desktop software has earned its reputation as the most affordable on the market for accountants and CPA firms. Knowing what our software offers should help guide you toward the features that you want.

Our software is:

The competition has:

There are a variety of software options flooding the market, but the cheapest 1099 program or a system with extra bells and whistles is not necessarily the right choice. We pride ourselves on our program having:

  • Easy user setup with scalable desktop features
  • The ability to file dozens (or hundreds) of forms — with no extra charge
  • Individualized workflows without worrying about any tiered features

Our desktop software positions accountants with an advantage. Whether you need a more affordable program or want on-site control of your clients’ data, our program maximizes many similar features to the competition without compromising quality or sacrificing efficiency.

Desktop vs. Cloud-Based 1099 Software

Both desktop and cloud-based 1099 software can help firms prepare, print, and file tax forms. The best choice often depends on how a firm manages data, clients, and annual filing workflows.

ConsiderationDesktop SoftwareCloud Software
Data ControlData is stored and managed locally by the firm.Data is stored and managed through the provider’s platform.
Pricing ModelOften sold as an annual license or one-time purchase.Typically sold through recurring subscription plans.
Internet DependencyMost functions remain available without a continuous internet connection.Requires internet access for day-to-day use.
Multi-Year AccessFirms maintain access to historical files stored on their systems.Access depends on maintaining the service subscription.

Which Approach Is Right for Your Business?

Many accounting firms prefer cloud software because it simplifies remote access and software maintenance. Others prefer desktop software because it provides direct control over client data, predictable costs, and independence from ongoing subscription requirements.

The right choice depends less on technology trends and more on how your firm prefers to manage payroll and tax compliance workflows.

E-File 1099 Forms Directly to the IRS

Preparing year-end forms is easy with our 1099 software, but so is filing your year-end tax forms electronically and securely. Filing forms from our software to the Internal Revenue Service is the best way to save time and money while ensuring accuracy.

E-Filing with AMS software can help you in a few ways.

  • Integrated Workflow – Seamlessly prepare 1099 forms and e-file them with minimal manual data entries. Streamlining your process helps you stay compliant while taking different steps (data collection, validation, and submission) in one system.
  • Batch Filing – Submitting multiple 1099 forms at a time eliminates needing to process each client’s filings on an individual basis. Efficiency during peak tax season helps you with high-volume clients’ filings that can otherwise be repetitive or error-prone.
  • IRS FIRE Access – Our software can file and create 1099 forms in the correct format so that you can submit them through IRS FIRE without delays or complications.
  • E-File Direct – Our full-accounting suite of tools includes an affordable E-File add-on module that pairs perfectly with our W2/1099 software. When you get E-File Direct for $164, you will save money by not buying too many forms and will avoid running out of 1099 forms.

When it comes down to making a choice, e-filing services are most often determined by their cost and usability. Our system was designed by a small business with small CPA firms, small businesses, and accountants in mind.

Preparing your year-end forms is easier than ever with our complete database system. Here are the next steps you can expect once you purchase our software:

  • Step 1: Install the software. If you need to update the software to another computer that is not connected to the internet, simply save your update file to a network, local drive, or a flash drive.

  • Step 3: Begin filing your forms. Your year-end 1099 and W2 forms can be printed on pre-printed forms or electronically filed to the IRS/SSA with our E-File Direct module.

What are the IRS Deadlines and Filing Requirements?

Many deadlines and filing requirements are consistent year to year, but not all. It is crucial to keep the dates accessible in case you need to reference any of them.

Key Dates

  • Jan. 31: Due date for employers to send W2 forms and certain 1099 forms. If Jan. 31 falls on a weekend, the forms must be sent by the following business day.
  • Feb. 15: You must receive a new Form W-4 claiming exempt status from an employee for that employee to continue being exempt from withholding in the upcoming year.
  • March 15/June 15: Tax returns are due for some business types, including partnerships and S corporations. Form 1065 or Form 1120-S must be filed by the date, respectively. A business that keeps a calendar year vs. a fiscal year must remember the correct date.
  • March 31: Deadline to file 1099 forms (except Form 1099-NEC) electronically.
  • April 15: Tax day (unless it falls on a weekend). Extension request deadline.
  • Sept. 15: Deadline for extended partnership and S corporation returns.
  • Oct. 15: Deadline for extended C corporation returns.

E-File Requirements

As of tax year 2023, your business must file 10 or more information returns electronically to the IRS. There were other mandatory e-filing changes that were finalized in 2023:

  • No more e-filing exception for income tax returns of corporations that report total assets under $10 million at the end of the tax year
  • Partnerships with more than 100 partners must e-file information returns

Most e-file requirements are long-standing and easy to accommodate with e-file software. One major change to expect next year is the end of the IRS’ Filing Information Returns Electronically (FIRE) system.

IRS FIRE will retire for tax year 2026 and transition to IRIS, which takes effect for the 2027 filing season.

The Information Returns Intake System (IRIS) is the only intake system for information returns for filing season 2027. Nevertheless, our tax software already supports e-filing directly. Utilizing our specialized, affordable software will support higher-volume clients and reduce the chances of unflagged duplicated forms.

Penalties

The W2 and 1099 late filing penalties should be reviewed ahead of the tax season, just like the state and federal tax liabilities that you can view using our Payroll Software suite. The minimum information return penalty has stayed at $60 since 2024. Using our W2/1099 platform can keep you on track and help you avoid incurring rising fees for intentional disregard.

Common 1099 Filing Mistakes for Accountants (and How to Avoid Them)

Accountants who are tasked with managing multiple clients need 1099 software like ours to avoid filing errors due to scale, process gaps, and fragmented workflows.

  • Multi-client errors: Our W2/1099 software reduces the risk of data crossover and misattribution. Issuing forms under the wrong payer or confusing client records is a mistake that can be avoided with a Common Payee File, allowing users to select a payee across payers or 1099 forms without re-entering the same information.
  • TIN issues at scale: Accountants who use our tax software can utilize a Table Report feature that generates hash totals of SSNs and TINs to validate data entry accuracy. Before your TINs increase in volume, make sure to standardize how you collect and verify the process.
  • Batch filing mistakes: Introducing batch filing efficiency requires an accountant to have all-in-one-style software that aligns financial reports. A trustworthy, organized program reduces the risk of you needing to bulk file revisions.
  • Correction handling: Corrections may sometimes be unavoidable, but our software is known for flagging duplicate filings or discrepancies. Creating a repeatable process for tracking, updating, and resubmitting corrected forms is in the best interest of your clients.

Significantly reducing common errors and tightening your workflow with W2/1099 software will noticeably reduce the cost and time spent on corrections.
